Plain answers about your data. Last updated 4 November 2026.

Your hotel's data stays on your computer

Claviq Hotel keeps everything you enter (guests, bookings, bills, stock, staff) in a database on your own main computer. It isn't sent to Claviq, and you don't need an account with us to use the app.

Other computers in your hotel read and write that data over your own local network, and only after you approve them on the main computer.

Security built into each install

Each installation creates its own database password and login keys the first time it runs. They're stored in the app's settings file on that computer, readable only by your computer account.

Backups are encrypted with a backup key made for your hotel. Without that key, nobody can open them, Claviq included. Keep the printed key safe: if it is lost along with the computer, the backups can't be opened.

What the app sends to the internet

Nothing about your hotel or guests. A future version will check for updates, sending only the app's version number and operating system.

This website

This site doesn't use tracking cookies or advertising. Our hosting provider keeps standard server logs (such as IP address and pages visited) for security and to keep the site running.

Your guests' information

As the hotel, you're responsible for how you collect and keep guests' personal details and ID photos under the law where you operate. Claviq Hotel helps by keeping that data on your premises, limiting who sees it with staff roles, and deleting ID photos after 90 days.
